Keep action separate from the answer.
A request to chase a customer prepares the message and supporting context. The person sees exactly what would be sent before approving it.
- Review recipient, wording and source quote.
- Record the approval and sending result.

Bring important changes forward without waiting for a question.
Agreed rules monitor available records and raise a short, actionable list. A data gap should be reported as a data gap, not a confident explanation.
- Use deterministic checks for budgets and due dates.
- Keep AI explanations linked to the source evidence.

Start with the tools you already use.
The assistant reads authorised CRM, quoting, job and financial records through supported connections. It is not a model given unrestricted access to your accounts.
What we check before building
Approved data sources, permission-aware tools, agreed definitions, evaluation examples and clear action limits.
These are illustrative workflows, not a ready-made platform or live client results. We agree the supported connections, approval points and acceptance tests before implementation.

Questions about delivery
Can I ask my own questions rather than use preloaded prompts?
Yes. Suggested questions help people start, while plain-English questions and follow-ups use the same permitted data and tools. Unsupported requests should be explained rather than guessed.
Will the assistant show where answers come from?
The design includes source records, reporting periods and missing-data warnings. Answers are tested against known examples before release.
Can it send messages or change financial records by itself?
Not by default. Sensitive actions are prepared for approval. Any wider automation requires explicit rules, access controls and testing.
Can it monitor problems without being asked?
Yes. Agreed checks can flag overdue invoices, budget variances, ageing quotes and missing records, with an owner and next action.
Does it need to train a new AI model on our business?
Usually not. A permission-aware assistant can retrieve current authorised records and use agreed tools. Model choice, data handling and retention are assessed during design.
Can we use voice as well as chat?
Voice can be assessed as an interface option. Transcription, privacy, usage costs and the same approval controls need to be agreed; a voice interface is not assumed from a chat demo.
Will it answer questions about another region?
Only if the user has permission. The same data-access restrictions apply to dashboards, exports and the assistant.
